2nd Junior Clerk – Family

PLACE OF WORK: St Philips Chambers, Birmingham

REPORTING TO: Senior Family Clerk / 1st Junior Clerk

REMUNERATION: Competitive

ROLE PURPOSE

To support the effective day-to-day clerking of the Family Team, providing a responsive and professional service to members, professional clients and other stakeholders. The role assists with diary management, allocation of work, fees, billing, client service, compliance and business development, working closely with the Senior Family Clerk and 1st Junior Clerk.

  • Excellent time management and the ability to prioritise competing demands.
  • Excellent presentation and communication skills, including face-to-face and telephone communication.
  • Enthusiastic, confident, thorough and self-motivated, with a professional and flexible approach.
  • Strong interpersonal skills and the confidence to liaise effectively with internal and external clients and suppliers.
  • Excellent attention to detail and a high standard of written communication.
  • Ability to multi-task, work to deadlines and remain calm under pressure.
  • A desire to develop within the role and progress within St Philips Chambers.
  • Moderate to high proficiency, or clear aptitude, in Microsoft Windows and Microsoft Office, including Word and Outlook (essential) and Excel (desirable).
  • Ability to work independently and collaboratively as part of a team.

CORE RESPONSIBILITIES:

Diary, work allocation & client service:

  • Assist with the management of the diaries of members of the Family Group in conjunction with the Senior Family Clerk and 1st Junior Clerk.
  • Answer calls promptly and professionally, dealing with enquiries appropriately and ensuring a consistently high standard of client service.
  • Book work at a suitable level for members of the group in accordance with professional clients’ requirements and Chambers’ fair distribution of work obligations.
  • Advise solicitors on the availability and suitability of counsel and maintain accurate records of relevant communications and bookings. To include accurate recording of opportunities data.

Fees, billing & administration:

  • Agree fees where appropriate, with reference to the standard fee guidelines for the team, the nature of the work and the barrister instructed.
  • Ensure accurate processing and recording of instructions and papers received.
  • Complete billing as appropriate and assist the 1st Junior Clerk in keeping diary billing up-to-date.
  • Check daily court lists and take any necessary clerking action arising from them.

Business development & representation:

  • Assist with the marketing and business development activity of the Family Group where appropriate.
  • Attend events as required as an ambassador for the Family Team and St Philips Chambers, demonstrating the high level of client service expected of the team.
  • Network confidently with current and prospective instructing solicitors and pass relevant information and opportunities to the Senior Clerk and/or 1st Junior Clerk.

Compliance, standards & development:

  • At all times act within the requirements of the Staff Handbook, Code of Conduct and Chambers’ policies and procedures.
  • Comply with established best-practice procedures and policies, including those relating to competition law, anti-money laundering, complaints, conflict checks, fair distribution of work, Direct/Public Access, Alternative Dispute Resolution and the handling of sensitive materials.
  • Attend training and development activity as required to maintain and develop relevant knowledge and skills.
  • Promote and maintain a consistently high standard of administrative and clerking support to the Family Team and St Philips Chambers as a whole.

OTHER DUTIES

To undertake any other duties reasonably requested by the Senior Family Clerk or 1st Junior Clerk.
